Plans and Billing
Chatleadr bills per conversation, on a monthly or annual subscription. What each plan costs and includes is on plans and pricing. This page is what happens to your account around those numbers.
What Your Plan Gives You Each Month#
Your plan's conversations arrive as a block of credit when the subscription starts, and a fresh block arrives every month. Each block lasts until the next one is due, with a short overlap so there is never a gap between them. An unused allowance does not roll into the next month.
When You Run Out#
A bot that has run out keeps loading on your site. Two things change what it says, and they behave differently.

Running out of conversations moves the bot into keyword mode. A bot that has hit its limit still runs the workflows its trigger keywords reach, and stops improvising.
When a Payment Fails#
A failed payment starts a five-day grace period. During it:
- The bot keeps working. Conversations are unaffected.
- Configuration changes are locked. Saving a bot, editing a workflow or changing an integration is refused while the grace period runs.
- Billing stays reachable. Upgrading, buying, opening the billing portal and dismissing the notice all keep working.
Settle the payment and the lock lifts immediately.
The card is retried several times over about two weeks, and each attempt starts the five days again, so the lock lifts and returns with the retries rather than ending on a fixed date. Your plan is not changed and no new allowance is issued while this is happening: the conversations you already have keep being served.
The workspace is suspended when the payment provider stops retrying, at which point the bot stops answering.
Upgrading#
Upgrading opens a checkout. When it completes, the new plan's limits apply and a fresh block of conversations is issued.
Where a downgrade arrives from the payment provider instead of from you, every workflow on the bot is switched off, and creating a new one is refused until the bot holds fewer than the new limit.
Downgrading#
A downgrade is checked before it is applied. It is refused while the workspace is over the new plan's limits for bots, members, channel connections, client workspaces, workflows per bot or knowledge documents per bot, and the refusal names what is over. Clear the excess first, then downgrade again.
Retention is not a blocker. The conversation history window gets shorter, and the shorter window applies to records you already have. Chatleadr deletes nothing for at least 30 days after a downgrade, whatever the new window says.
Common Questions#
Can I Buy Extra Conversations Without Upgrading?#
Yes, on any paid plan. Conversation packs are sold in sizes from 500 to 10,000 and are bought from Billing and Usage in your account settings.
A pack is a one-off purchase, not a change to your plan. Its conversations never expire, and they are used only after your monthly allowance runs out, so a pack bought this month is still there next month if you did not need it.
The Free plan does not include packs. Moving up a plan is the way to get a larger monthly allowance rather than a one-off top-up.
Does a Suspended Account Lose Its Data?#
Suspension stops the bot answering. It is not a deletion, and retention windows continue to apply as normal.
Can I Change Plan Mid-Month?#
Yes. The change goes through the payment provider, and the new allowance is issued when it confirms.
Is There a Free Plan?#
Yes. It answers from your own content and leaves out the workflow builder. Plans and limits states what it carries.
