Transfer a Workspace

Transferring a workspace makes somebody else its owner. They take on the bots, the conversations, the leads, the team and the bill. You stay in the workspace as an admin and can keep working on what you built.

This is how an agency hands a finished project to the client who will run it, and the only way a bot reaches an organisation you are not part of.

An offer changes nothing until it is accepted. It expires by itself after 14 days.

Make the Offer#

  1. Open Workspace settings from the account menu, then the Ownership tab.
  2. Check what is carried. The number of bots and team members is shown in the same terms the recipient will see.
  3. Type the new owner's email address and select Offer this workspace.

Nothing moves until they accept, and the offer stands for 14 days.

What the Recipient Needs#

They must already own a Chatleadr workspace on an active paid plan, with room for yours. The checks run against their plan at the moment they accept:

  • Their plan has to include client workspaces, which today means the Agency plan.
  • They need a free client workspace slot.
  • Their plan has to cover the bots yours brings, counted across everything they pay for.
  • The workspace you are handing over has to fit their plan's limit on members per workspace, counted on its own.

Only the new owner sees the result of these checks. When they open the offer, they see which check failed, and your offer stays open while they fix it.

Spend Unspent Conversations First#

Conversations belong to the workspace that pays for them, so they do not move with a transfer. That covers the monthly allowance you have not used yet and any top-ups you bought, which otherwise never expire.

Once the new owner accepts, the workspace draws on their allowance instead, and the balance you leave behind stops counting for anybody. Nothing refunds it. If the workspace is holding unspent conversations, the Ownership tab says how many before you make the offer, so run them before you hand the workspace over.

Cancel Your Own Subscription Afterwards#

If the workspace pays for itself today, the transfer moves it onto the new owner's bill. Your own subscription keeps charging you until you cancel it, and the Ownership tab says so before you make the offer.

After the transfer, the workspace's Billing page belongs to the new owner and no longer opens for you. To cancel your subscription once they accept:

  1. Open the order confirmation email for that subscription and follow the link to manage it. The link goes to the payment provider that took the payment.
  2. Sign in with the email address you paid with.
  3. Cancel the subscription that paid for the workspace you transferred.

If you cannot find the email, write to support@chatleadr.com from the address on the account and we will cancel it for you.

Cancel only after the new owner accepts. A cancelled subscription ends when the period you paid for ends, and if the offer is still open at that point, Chatleadr suspends the workspace and its bots stop answering.

Withdraw an Offer#

While an offer is outstanding, the Ownership tab shows who it went to and when it expires, with a button to withdraw it. Withdrawing takes effect immediately.

An offer nobody answers expires after 14 days and changes nothing.

Accept an Offer#

Offers made to you appear under Your account, on the Transfers tab. Accepting asks which of your workspaces should pay for the incoming one.

Conditions to Clear First#

A transfer is refused until each of these is true, and the refusal names the one that stopped it.

  • The workspace pays for no client workspaces of its own. Transfer or delete those first.
  • The workspace is not scheduled for deletion. Restore it first.
  • The new owner is somebody else.

After a Transfer#

The new owner holds every decision that was yours: billing, members, deleting the workspace and transferring it again. You keep an admin's access, covering bots, channels, leads and the team. See roles and permissions.
